Dear parents and families of incoming students,

Has the summer sped by for you too? We are excited that it is getting closer for your students’ arrival! Here’s what you should know this week:

ALL students need to log in to their Student Health Portal to check their immunization compliance

We still have students who have not successfully completed their immunization requirements (many of whom attempted to upload, but their records did not take), so we are asking ALL students to do the following

ALL students must log in to their Student Health Portal using their WFU credentials to look for the banner at the top of the website showing green checks (if compliant) or red Xs (if non-compliant)

Please do not contact the Student Health Service to ask if your documentation was received and accepted. This slows down the review process for all students. Your student must use this self-check procedure:

If a student sees any red Xs, they need to go into the Secure Messages section of the portal and look for instructions on what is needed/missing.

Even if they think they uploaded everything successfully, we are asking ALL new students to log in to the Student Health Portal to verify they are compliant.

If your student checks their portal and their Secure Messages and still has questions, they can then send an email to shs@wfu.edu with questions.

Being compliant is critically important: students who fail to comply will be removed from fall courses and assigned housing (if applicable). They will also not be able to participate in Pre-Orientation programs (if applicable). So please, ask your Deac to check their Student Health Portal banner for immunizations.

Reminder of Orientation schedule for new students families

To access the 2023 New Deac Welcome Week (aka Orientation) schedule:

  • DOWNLOAD THE APP:  Go to your APP or Google Play store and search “WFU Orientation Programs” to access the New Deac Welcome Week 2023 guide or simply scan the QR code below

  • On a laptop/desktop computer or unsupported mobile device, visit the following link to access the content in your web browser.
  • In the top left menu, choose Schedule by Tracks > Parents and Families to see your schedule (students will choose the First Year or Transfer track as applicable).
  • Note that all activities for families end on the evening of Thursday, August 24. We encourage families to depart on Thursday evening or Friday morning, as students will be in required Orientation programs Friday-Sunday and we want them to begin bonding with their hallmates and classmates.

Receptions for families coming for Pre-Orientation move-in Aug. 18 and 19

We know that there are families coming to move their students in for Pre-Orientation who might not be able to attend Orientation on August 23-24, but who want to meet other families and administrators.

We sent an invitation to parents and families of all Pre-Orientation participants moving in on August 18 or 19 to a reception at 4:30 p.m. each day. This informal reception will provide an opportunity to connect with members of the campus community from the offices of Orientation, Family Communications, and the Office of Family Engagement, as well as other administrators. There will be brief remarks at 4:30 p.m., and dress is casual.

If you have confirmed that someone in your family has not already RSVPd for your family, please RSVP for the August 18 or August 19 reception. NOTE: you do not need to include your student in your RSVP.

Upcoming deadlines for students

While we want your Deacs to be responsible for their own deadlines, there are two of crucial importance where we can use your help.

Check WIN for financial holds – August 8

  • Your student may have received an email from Student Financial Services regarding a registration hold if they still have an outstanding balance on their student account (DEAC). To view the student account and any current balances, log into DEAC (DEAC > View & Pay Accounts > View Account Details). Students can also go to the Registration Portal in WIN and select ‘Prepare for Registration’ to review any financial holds.

Register your mobile phone for emergency alerts – August 16

Parting thoughts

We will continue sending messages to our new families through August 22nd with reminders of key action items and other information we hope will be helpful. In case you missed one of our weekly messages, they are all archived here.

With best wishes,

Betsy Chapman, Ph.D. (‘92, MA ‘94)
Executive Director of Family Communications
